So when we say we are looking for an Administrative & Executive Assistant, yes, we want someone who is a highly organized, multi-tasking powerhouse that can provide support in a fast-past and dynamic environment, but we also need another team member who will do what it takes to help us shape an amazing team and company.

What you might do on any given day:

  • Manage calendars for the executive team, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.

  • Build relationships with our existing and potential clients, coordinating necessary logistics for conference calls, meetings, and/or demos.

  • Arrange and reserve conference rooms, catering, audio/video, and other essential services as needed for meetings and events.

  • Create and maintain an inventory of company licenses, equipment, and office supplies, and order new items as needed.

  • Assist in the creation and improvement of company processes, tools, and procedures--anything from improving onboarding process for new employees, to evaluating and helping with the roll-out of new company tools or processes, to developing new content for the company internal website.

  • Participate in meetings and calls and create business communication documents including meeting minutes, emails, memos, and slack announcements.

  • Make travel arrangements for visits to client sites, conferences or other events, or business development efforts.

  • Assist with recruitment efforts including drafting job descriptions, screening resumes, scheduling interviews, and drafting correspondences.

  • Analyze and process expense reports--categorizing items, writing descriptions, and attaching receipts.

  • Research, coordinate, and help plan internal and external events such as all-hands meetings, team social events, meetups, and conferences--this includes everything from scheduling, to logistics, to providing input on the event itself.

  • Maintain order in the office by ensuring common spaces are clean, organized, or otherwise helping create a positive office experience for employees. Digital spaces for now, but physical spaces too when we’re back in the office.

This position might not be for you if you:

  • Have a hard time multitasking and prefer to focus on a single task at a time.

  • Don’t like the idea of jumping in with your own suggestions and strategies for how to help establish better processes for our teams or best manage the tasks and priorities for the executive team.

  • Prefer working in analog over digital and don’t feel comfortable learning or trying new tools and software.

  • Work better in structured environments or have trouble with ambiguity and uncertainty.

While not required, our ideal candidate is going to hold an associate’s or bachelor’s degree. Previous work experience in similar roles is a plus, but what we really need is an individual with the passion to learn our company operations along with new skills, and do what it takes to help our team be successful.
